Add a lead

From Zillow, Realtor.com, a phone call or a referral. Paste a portal email and we'll fill in the rest.

A lead from somewhere else only ever gets drafts: they never asked to hear from an assistant.

Forward your portal leads

Zillow and Realtor.com email you each new lead. Forward just those to your assistant and it drafts a reply within minutes. Your other mail stays yours.

  1. Copy your lead address
    Getting your address…
  2. Add it in Gmail

In Gmail: Settings ⚙ → See all settings → Forwarding and POP/IMAP → Add a forwarding address. Paste the address, then Next → Proceed.

  3. Enter Google's code

Gmail emails a confirmation code to your lead address. It shows up here within a minute. Type it into Gmail's Verify box.

    Waiting for Gmail's code…
  4. Forward only portal leads

Leave "Forward a copy of incoming mail" off. Instead, paste this into Gmail's search box:

Click the Show search options icon at the end of the search box, then Create filter. Tick Forward it to, choose your lead address, and click Create filter.

Why not forward everything? Your assistant only reads portal leads and refuses the rest, and if too much is refused, our mail server may stop taking mail from Gmail for an hour, leads included. Outlook or another email? Make a rule that forwards mail from zillow.com and realtor.com to the address above.

Text from your own Twilio number

Leads who text your Twilio number get their replies from that number. You approve each one first, as with email.

Both are on your Twilio Console's home page, under Account Info. We check them with Twilio before saving anything, store the token encrypted, and never show it again. Nothing in your Twilio account changes.

Carriers only deliver texts from a number registered for business texting (A2P 10DLC, or toll-free verification). Use the number or Messaging Service your registration covers.

When a new lead writes in

We tell you at once, so you can step in while they're still looking.

The email comes from your own address, to yourself. Some mail apps file that somewhere quiet, so send a test and check it lands where you'll see it.

Your HubSpot

Each new lead becomes a HubSpot contact you own, so HubSpot's app tells you. A note goes on it when they write, when a reply goes out and when they're handed to you.

  1. Make a key in HubSpot

In HubSpot: Development → Keys → Service keys → Create service key. On an account that has them, a legacy private app works too: Settings ⚙ → Integrations → Private Apps. Give it these scopes:

  2. Paste it here

We check it with HubSpot before saving anything, store it encrypted and never show it again. We only add contacts and notes, and give an owner to a matching contact that has none; nothing in your HubSpot is changed or deleted otherwise.
